South Plains College needed a practical way to keep track of assets spread across hundreds of rooms. Musical instruments, IT equipment and other movable assets needed accountability, inventory checks and a usable way to find where an item was located.

RFID tags were attached to the assets and selected for use across different surfaces. Handheld checks let users scan a room without first locating the tag on every asset, which supported faster auditing and item finding.

The workflow connected each asset identity with a location record and a digital inventory process. Operators could search for an item with a handheld check and review an inventory without relying on serial-number entry for every object.

The source case reports that the time required to manage assets was significantly reduced and that digital capture reduced keying and related human errors. These are reported case observations, not a universal result; asset mix, tag placement, reader setup and operating procedure still require representative testing.
